1. Information We Collect

Personal Data You Provide

When you sign up via Google (Clerk), we collect your full name, email address, and phone number as provided by your Google profile. You may also enter property listing details (address, price, type, status) into our dashboard.

Email Content

We access only the messages you forward to Superbrokers. We do not scan or store any other emails in your inbox. Forwarded messages (metadata + body) are stored to generate and send AI-drafted replies.

Service Metrics

To ensure reliability and continuous improvement, we collect basic service metrics (e.g., processed message counts, API success/failure rates) and use PostHog to track user interactions within the application to better improve our services. We do not collect IP addresses, device data, cookies, crash logs, or any other behavioral analytics beyond these metrics.

AI/ML Usage

Any email data obtained through Google Workspace APIs is used exclusively to generate and send AI‐drafted replies for our managed inbox (leads@superbrokers.ai). We do not use this data to develop, improve, or train any generalized AI or machine learning models.

2. How We Use Your Data

  • Automated Email Drafting & Sending: Fetch your forwarded inquiries to build AI-generated reply drafts, then send finalized replies back into the same Gmail thread on your behalf.
  • Booking-Link Creation & Calendar Tracking: Generate unique booking links, create/manage events in your Google Calendar, and update your dashboard in real time.
  • Email Organization & Label Management: Apply and manage labels (e.g., “New Inquiry,” “Draft Sent”) for clear status.
  • Service Analytics & Monitoring: Track internal metrics to diagnose issues, optimize performance, and plan improvements.

4. OAuth Scopes & Access

We request the following Gmail scopes:

google.auth/gmail.modify gmail.readonly gmail.labels gmail.settings.basic gmail.settings.sharing

We do not request offline access or retain refresh tokens beyond each session.

5. Data Sharing

Third-Party Services: OpenRouter (LLM calls), Google Cloud Pub/Sub, PostHog (performance analytics), Supabase (database).

Internal Sharing: We do not share your personal data with other users or brokers.

6. Data Retention & Deletion

We retain all your data indefinitely unless you request deletion.

To delete your data, email admin@superbrokers.ai. Deletions are completed within 30 days.

7. Security Measures

  • Encryption in transit (TLS) and at rest.
  • Firewall protection and access controls on Vercel.
  • Authentication & authorization via Clerk.
  • Regular monitoring and internal security reviews.

8. Breach Notification

  1. Detect and investigate promptly.
  2. Notify affected users and regulators within 72 hours.
  3. Detail the incident, data involved, and remediation steps.
  4. Remediate root causes and offer dedicated support.

9. Your Rights & Choices

  • Access, correct, or port your data by emailing admin@superbrokers.ai.
  • Revoke Gmail access at any time via your Google account settings.

10. International Transfers

All data is processed and stored within the United States; we do not transfer your data outside your country of residence.

11. Children’s Privacy

Superbrokers is not for children under 13. We do not knowingly collect data from that age group.
